Maintain direct and ongoing communication with the couple’s vendors throughout the planning process to ensure everything runs smoothly.

Event Logistics & Day-of Coordination

Floor Plan Review

Review or create a floor plan to ensure the best flow and guest experience during the ceremony and reception.

Event Timeline

Develop and distribute a detailed event timeline for the vendors and wedding party, ensuring timely fittings and preparations. 

Hotel & Accommodation

Assist with finding hotels and securing preferred room rates for guests near the ceremony and reception venues. 

Rental Coordination

Schedule and coordinate the delivery and pick-up of wedding rentals, ensuring all items arrive on time.

Vendor Coordination

Confirm all timing and logistics with vendors ahead of the wedding to ensure a smooth day.

Wedding Rehearsal

Conduct the wedding rehearsal and coordinate the wedding party on the day of the event.

Day-of Staff

Provide at least two coordinators (one for rehearsal and one for the wedding day) to ensure seamless execution of the event. 

Emergency Kit

Supply a fully stocked emergency kit for any unforeseen needs on the big day.

Cueing Wedding Party & Vendors

Cue the wedding party for their walk down the aisle and coordinate with the DJ/band for key moments like toasts, special dances, and cake cutting during the reception.

Set-up Oversight

 Oversee the setup at both the ceremony and reception venues to ensure everything is in place and meets the couple’s vision.

Assistance with Personal Items

Help the wedding party and family with flowers, corsages, and boutonnieres, and ensure the correct placement of all personal items, such as ceremony props, programs, toasting flutes, cake knife, table numbers, etc.

Vendor Liaison

Act as the main point of contact for all vendors on the wedding day to ensure smooth communication and execution of the event.

Closing out the night

Grand Send Off

Coordinate with your media staff, DJ, and MC and direct your guests for the grand exit for the evening. Help pass out and light sparklers, glow sticks, bubbles, and any other type favor you provide for the grand exit.

Final Payments & Gratuities

Distribute final payments and gratuities to vendors as per the couple’s instructions.

Item Collection & Secure Storage

Collect and secure all personal wedding items before departure, handing them over to a designated family member or venue contact.

Customized Client Portal (Will Be Offered Soon)

Access a personalized portal with tools to track your progress, a calendar for upcoming meetings and payment due dates, design studio for vision sharing, and RSVP management. The portal also includes a      messaging platform for focused communication throughout the planning process.
