Design & Day of Coordination

Preliminary Design Meeting

  • Design Proposal: Presentation of mood board + up to 3 revisions (if necessary).
  • Design-related Recommendations: Suggestions for decor and quantity allocations.
  • Rental Equipment Appointment: Accompany clients to rental appointments (e.g.,      tablespaces, etc.).

Post-Contract Meeting

  • Aesthetic Discussion: Schedule an initial meeting after contract signing to discuss the overall      event aesthetic.
  • Event Design Creation: Explore inspirations and Pinterest boards to shape the event design.

Milestone Meetings

  • Scheduled Check-ins: Plan meetings for regular updates and coordination with clients and event planners.

Day-of Event Coordination

  • Primary Point of Contact: Serve as the main contact for the rehearsal and event day.
  • Venue Set-up Oversight: Supervise the setup at both the ceremony and reception locations.
  • Floorplan Review: Ensure optimal event flow through floorplan assessment.

Event Timeline & Vendor Coordination

  • Detailed Timeline Creation: Develop a comprehensive, minute-by-minute timeline      for the event.
  • Vendor Communication: Maintain direct contact with all vendors 1 month before the event for      seamless coordination.

On-the-Day Support

  • Day-of Staff: Provide 1 Lead Coordinator + 1-2 assistants (depending on event      complexity/guest count).
  • Etiquette & Troubleshooting: Offer expert guidance on etiquette and handling any      unexpected situations.
  • Event Cueing: Coordinate planned moments (e.g., speeches, first dances, cake cutting) with the DJ/band.
  • Emergency Kit: Supply a fully stocked emergency kit for any unforeseen needs.
  • Wedding Party Assistance: Help the wedding party and family with flowers,      corsages, boutonnieres, and other small items.
  • Item Placement: Ensure proper placement of personal items (e.g., ceremony props, welcome      table elements, toasting flutes, cake knife, table numbers, menus, name cards, bar signage).

Event Wrap-up

  • Item Collection: Secure and hand over all wedding items to a designated family member or      venue contact before JL Events departs.
  • Vendor Payments: Distribute final payments and gratuities to vendors as per the client's instructions.

  • Messaging platform for focused communication       throughout the planning process
